Add Record - Manual Entry (Single Record)
Step 1: Select the Asset Category for data to be imported. Select any asset in that Category or select the Category itself.
In this example we will import Roads Data:
Step 2: Select Add Record from the Edit menu or click the Add New button. The following screen will appear:
There are three options for adding a new record:
- Option 1: Add New Blank Record
- Option 2: Add New Record from Template
- Option 3: Add-New from Existing Asset
Option 1: Add New Blank Record
Type the new ID in the asset ID field. Assetic myData will show the last asset ID used.
Some of the generic information can be populated in the left hand section of the window.
This screen is essentially the summary screen (as configured by Users) of this particular asset category.
Next, click Add. The asset has been added in myData. Now all remaining information are recommended to be populated by navigating across Tabs.
As soon as the Valuation tab is populated and the User saves the asset, myData will create an archive record.
Once an archive record is auto-created, Users cannot delete the record permanently. Refer to Delete Record for more details.
Users can add a parent to this new record using the Add Parent option in the screen above, or this asset can be associated to another asset via the Associated Asset tab later.
Option 2: Add New Record from Template
A new asset can be added using templates. Templates can be created and saved for future use.
Users can choose to use the Template function (see below) or can add a new record using an existing template from the Add New screen as below:
Select the template from the available templates in the drop-down list and assign an asset ID to the new asset.
Once the template is selected the data will be auto-populated in the relevant fields.
Click the Add button and an asset will be added to the asset register.
All the data except the valuation data will be pre-populated by myData.
Users can then populate relevant valuation data and save the asset.
As soon as the asset is created using the template function from within the Add New option, myData will archive the record automatically.
Templates - Creating and Using
This is an important tool generally used whilst adding assets manually, or while doing In-Year updates, such as splitting the asset into two or creating a duplicate asset.
Using templates saves the User having to re-enter similar information multiple times.
To create a template:
Select the desired asset to create a template.
From the tool bar select Template and click Save Current as Template.
The current asset record will be saved as a template.
To use the template:
To create a new asset manually using a template, click the Add Record button and select the template from the drop down as shown below:
Once the template is selected, follow the procedure as illustrated above.
Note: A template is asset category specific. For example, a template created in the Sealed Roads asset category cannot be used in the Sewerage asset category.
Option 3: Add-New From Existing Asset
Adding new assets from existing assets is similar to using a template for creating new assets.
However, adding/creating a new record-using template will not pre-populate financial details in the new record (as opposed to this option).
To add a new asset using this option, select New from Asset. The Advanced Asset Search screen will pop up.
Search for the asset from which you want to create the new asset.
Select an asset using the Select Asset button at the bottom right corner of the Advanced Search window.
Once the asset is selected, myData will create a new record using exactly same information.
Assetic myData will also create a temporary asset ID.
Change or edit the ID as required and click Add.
After the asset is created, change information under different tabs.
Some of the information (such as Date of Recognition and Recognition Type) cannot be altered manually. Such fields can only be edited using the data import function.
